Privacy policy

The short version: the planner works without accounts and without cookies. Workouts stay on the member’s own phone. We only receive personal data when a gym applies for a pilot or emails us, and we use it to reply and work with that gym.
1. Who we are
NOVIQ FIT is a QR workout planner for gyms, available at noviqfit.com. The controller of the personal data described in this policy is , , registration number (“we”, “us”). You can contact us about privacy at info@noviqfit.com.
2. Gym members using the planner
When you scan a gym’s QR code, the planner opens in your browser. We do not ask for your name, email or any account.
- Your choices and your workout are stored in the page link itself, in the part after the “#” sign. This part is not sent to our server.
- Weights you enter, your recent workouts, an unfinished workout you can continue, and the language and theme you choose are stored in your browser’s local storage on your device. See our Cookie policy for the full list.
- This data stays on your device. We cannot see it, unless you share a workout link with someone yourself.
In the optional section you can mark an age group and areas to go easy on, such as knees or lower back. Like your other choices, this is stored only in the link on your device and in your recent workouts list there. It is never sent to us, and we remove the part of the link after “#” before any visit statistics are sent. The planner gives general workout plans for healthy adults; please do not enter other health information anywhere in it.
3. Visitors to our website
Hosting. Our website is hosted by Vercel Inc. To deliver pages and keep the service secure, Vercel processes technical data such as your IP address, browser type, the page requested and the time of the request in server logs. Legal basis: our legitimate interest in operating a secure website (Article 6(1)(f) GDPR).
Statistics. We use Vercel Web Analytics to count visits. It does not use cookies. Instead of tracking you, it creates a hash from the incoming request that is valid for one day and then reset, so visits cannot be linked across days or across websites. Before anything is sent, we remove link parameters and the part of the link after “#”. We also count a few anonymous events: when a gym’s planner is opened and when a workout is created (with the gym’s name and the language), and when a pilot application is sent (with the country and preferred language). Legal basis: our legitimate interest in understanding how the service is used (Article 6(1)(f) GDPR).
4. Gyms that apply for a pilot or contact us
When you send the pilot application form or email us, we receive the details you provide: gym name, country, preferred language, email address, and, if you choose to add them, your name, Instagram or website and a message.
We use these details to reply, to set up your pilot and to work with your gym. Legal basis: steps taken at your request before entering into a contract (Article 6(1)(b) GDPR) and our legitimate interest in answering business enquiries (Article 6(1)(f) GDPR). We do not use them for newsletters or advertising, and we do not ask for consent for this processing, because consent is not its legal basis.
The form is delivered by Web3Forms, a form service operated by Web3Creative from India. To filter spam, Web3Forms passes the sender’s IP address and email address to spam-filtering providers in the United States.
5. Gyms that become customers
If your gym continues after the pilot, we process the contact and billing details needed to provide the service, issue invoices and meet our accounting and tax obligations. Legal basis: performance of a contract (Article 6(1)(b) GDPR) and legal obligation (Article 6(1)(c) GDPR).
6. Who processes data for us
- Vercel Inc. (United States): website hosting and visit statistics.
- Web3Creative, operator of Web3Forms (India, with infrastructure including Amazon Web Services and Hetzner, and spam filtering by CleanTalk and Akismet in the United States): delivery of the pilot application form.
- Google (Google Workspace): our email.
We do not sell personal data and we do not use advertising trackers.
7. Transfers outside the European Economic Area
Some of these providers process data outside the EEA. Vercel is certified under the EU-U.S. Data Privacy Framework and also relies on the EU Standard Contractual Clauses. The Web3Forms data processing agreement incorporates the EU Standard Contractual Clauses. Google provides the EU Standard Contractual Clauses in its data processing terms.
8. How long we keep data
- Pilot applications and emails: up to 24 months after our last contact, unless your gym becomes a customer.
- Copies held by Web3Forms: Web3Forms keeps form submissions for up to three years under its own retention design. We can ask Web3Forms to delete them earlier.
- Customer and invoicing records: for as long as Latvian accounting and tax law requires.
- Hosting logs: for the short period set by Vercel.
- Visit statistics: kept as anonymous totals.
9. Your rights
You have the right to access your personal data, to have it corrected or deleted, to restrict or object to its processing, and to data portability, within the limits set by the GDPR. To use any of these rights, email info@noviqfit.com. We reply within one month.
You also have the right to complain to a data protection authority. In Latvia this is the Data State Inspectorate (Datu valsts inspekcija, dvi.gov.lv). You can also contact the authority in the country where you live or work.
10. Children
NOVIQ FIT is intended for adults and is not directed at children under 16. We do not knowingly collect personal data from children.
11. Security
Our website is served only over encrypted connections (HTTPS). We limit the personal data we collect to what is needed, and access to our email is protected.
12. Links to other websites
Our website links to Instagram and TikTok, and the planner can open a YouTube search for example videos. These services have their own privacy policies, which apply once you visit them.
13. Changes to this policy
We will update this policy when our service or the law changes. The date at the top shows the latest version.
